To create a new analysis workflow, start in the one of the pcn.analysis lists and click the list button Icon-Analysis-Add-Unprocessed and you will get to the following view.

This view shows the PCN header with number, title, manufacturer and issue date at the top. You can also see the processing status of the PCN.

 

Use the button Details Icon-smartPCN to go to the PCN Inspector in order to inspect all of the PCN's data and may export it into a zip container.

 

Below you see the list Filter by Assemblies containing all assemblies which are affected by the PCN according to your mappings.

If the PCN has mappings with IPN which are not part of an assembly,you see entries in the lists with none in both columns Assembly Number and Assembly Name.

 

You can use it to filter the list Select Mappings for Analysis Workflow which contains all mappings and is displayed right next to it.

 

An analysis workflow is usually created for all mappings of the PCN and therefore for all assemblies affected by the PCN. However, you can select a subset as the basis for your analysis, e.g. all mappings for a specific assembly.

 

By default, all mappings are selected. To change this, deselect (uncheck) the mappings you do not want in the table Select Mappings for Analysis Workflow on the right.

The left table Filter by Assemblies can be used to quickly select or deselect all unwanted mappings of an assembly.

 

If the desired mappings are selected, the next step is to choose the workflow type. To do this, use the Select Type drop-down list.

The workflow type defines the basic structure of the workflow (template), i.e. the deadlines, the organizations addressed with the persons behind them and also the number of tasks.

 

Select your analysis type and click the button Create Icon-WFCreate next to the selection list.Now you see the New Workflow along with the predefined data (default values). You can now edit the input fields.

 

Notes:

In the admin area you can create any number of company specific templates, which are then available for selection under Select Type.

If you do not need an analysis but want to start directly with Actions, you can select Skip Analysis. After that click the button Create Icon-WFCreate and then the button Icon-Save Save. Now you can create your first action workflow.

All entries are default values coming from the workflow type (template). They can be changed to your needs.

Deadline for processing the workflow

 

Reminder Date 1 to 3

The dates for the reminder notifications (e-mails) when the deadline is not met (all empty=no reminder).

You can pick a date before the Target Date if you want your addressees to be reminded before the deadline.

 

Tasks

Here you see all predefined workflow tasks for the respective organizations. For each task, you have to enter a short Description.

If you want to add a task, click the button + Add new row.

If you want to delete a task, move the mouse over the row and clicking the delete button Icon-Delete which appears at the end of the row.

 

All persons of the Org Unit are automatically informed about their task. If you want to inform additional persons, enter their e-mail addresses comma-separated under Additional e-mails. This step is optional!

 

Documents

Here you can add files to the workflow. These are added to each task and can later be viewed by all organizations in the workflow.

Click the Save button Icon-Save to finally create the workflow.

 

You will then see the newly created analysis workflow with its tasks. The Workflow No is automatically assigned consecutively, so the newest workflow is always at the end of the list.

All persons involved see their personal tasks after clicking the button my tasks Menu-MyTasks.

 

If your license covers the module the E-Mail Notification, the receivers will also be informed by e-mail. Also you, as the creator of the workflow, will be informed by e-mail as soon as one of the tasks is completed (Done).

You can create several analysis workflows for one PCN. To do this, press the button Icon-Analysis-Add-Wip or Icon-Analysis-Add-Done any time and perform the steps as described above.
